01WHY PATIENTOS

Every clinic group has a head office. Now you do too.

PatientOS is the head office in software. The marketing, the analytics and the operations are built into the system you already work in, with no seams between them.

Corporate groups
Run on a head office: marketing people, analysts, operations managers.
Independent practices
Run on the owner, at 9pm.
PatientOS
Replaces seven subscriptions with one.

One patient record, read and written by Reception, Clinic and Pharmacy. Sample clinic data.

One record.

Nothing is exported, imported or re-typed.

Live everywhere.

A booking made in chat is on the day list instantly. Every screen is live, on every device.

Yours to shape.

Apps and modules are switches. Turn on what you run. Nothing else gets in your way.

03The apps

An app for every job in the clinic.

Each one built around an outcome the owner actually worries about, and all of them on the same record.

Reception

A front desk that’s never overwhelmed.

No missed calls means no missed bookings, and the desk starts the day ahead instead of digging out. AI reception works with your team. It answers the chat, books confirmed appointments and takes messages, while your people look after the humans in front of them. Confirmations and reminders go out on their own, so booked patients actually arrive.

AI reception · web chatToowong · 9:04 am

Hi, can I get in to see a GP about my ankle this week?

Yes. Dr Amelia Patel has Thursday 14 August at 2:15 pm, or Friday at 9:40 am.

Thursday please. And can you ask about my repeat script?

Clinic

Built around the way you practise.

Notes finished when the patient leaves, not at 7pm, and practitioners who like their tools stay. Fast charting for the ten-minute consult: desktop in the consult room, iPad on a home visit, phone between patients. The chart arrives prepared, with the history, scripts and messages already assembled, and customised with your templates, your forms, your interface.

Every kind of care

In person, telehealth or asynchronous.

Offer care the way patients want it, without bolting on another tool. However the appointment happens, it is booked, run, documented and billed in the same record.

Dispensing on the same record.

The pharmacy stops being a separate system with a separate truth. Scripts and fills live beside the booking and the payment, with collection in store or shipping in the same flow. One patient, one history, one screen.

Store

New revenue, without becoming a retailer.

Avenues that used to be a project become an afternoon’s decision. Most practices never sell beyond the consult, because ecommerce means another platform to run. Here it is a switch: products, programs and fees sold at the counter or online, paid, fulfilled and reconciled with everything else.

Marketing

The right message at every step.

You finally see which ad became an appointment. Welcome a new patient, remind before, follow up after, and reach back out while a patient is drifting rather than after they’re gone. Consent-aware, run by a marketing seat that never sees clinical data, and landing on your own website, your own diary and your own analytics.

Your channels

Your website. Your app. Your patients.

Own your front door, and the patient relationship that walks through it. Build and publish the clinic’s website and a branded mobile app from inside PatientOS, with bookings and messages flowing straight back into the same platform.

Run the business

Pivot at the speed of thought.

The business changes as fast as you decide, with nothing breaking on a Tuesday. Every setting changes live, an AI helper configures it with you, and a sandbox lets you rehearse before anything touches the real clinic. Prices, fees, hours, content and journeys are your team’s to change, with no developer queue, and automations handle the “when this happens, do that” work nobody should do by hand.

04ANALYTICS

Know the whole business, live.

First-class analytics out of the box: bookings, revenue, utilisation and channels. Real time, no exports, no consultant.

Attribution

The whole journey is measurable, from a website visit to a booked appointment, with the source attached.

Dashboards

Ready-made dashboards for the questions every clinic asks. Custom reports for the ones only yours does.

Residency

Analytics is part of the platform, hosted in Australia, so patient behaviour never flows to an offshore analytics vendor.

05SWITCHING

Switching is our job, not yours.

Nobody buys practice software from a landing page. They leave the old one. So the move is on us.

  1. We migrate your data.

Records, appointments and patients come across with you. We run the migration while you keep seeing patients.

  2. You run both, side by side.

PatientOS runs alongside your old system until you're confident. No cliff-edge cutover.

  3. You turn the old one off.

When you're ready. Not when a contract says.

How PatientOS is built

PatientOS isn't being designed in a boardroom. It's being built with a working Australian clinic, shaped by the front desk, the consult room and the till.

06FAQ

Questions owners actually ask.

Where is my data stored?

In Australia, full stop. PatientOS runs on Australian servers and is built for the Privacy Act and the Australian Privacy Principles.

Patient data doesn't leave the country.

Can I move from my current system?

Yes. Migration is our job. Records, appointments and patients come across.

You can run both systems side by side until you're ready.

What does the AI receptionist do, and not do?

It answers chat, books real confirmed appointments into real slots, takes messages and answers the questions you've approved.

It never gives clinical advice.

Do I pay for apps I don't use?

Apps and modules are switches. If Store is off, it's off: invisible to staff and absent from your workflows.

Does it handle GST and Medicare?

Yes: GST-aware payments and receipts, and billing workflows shaped for Australian practices.

Who can see what?

Roles decide. Reception sees the diary, clinicians see the chart, and your marketing seat sees no clinical data at all.

Can it run more than one clinic?

Yes. Clinics run side by side on the one platform, each with its own isolated data, branding and settings.

Your team moves between them with one login.
